Short answer

A PayPal refund pending needs a different check from a payment you originally sent. Open the refunded transaction in Activity and read the refund status. The refund may still be clearing, or it may already be with your bank or card issuer. Save the original payment and refund details together before contacting the seller, PayPal or your bank.

Check whether a refund has actually been issued

A seller’s promise to refund and a refund recorded against the transaction are different evidence. Ask for the original transaction to be refunded, then check your own Activity instead of relying on a message or screenshot.

PayPal’s refund instructions let a recipient select the payment in Activity, choose Issue a refund and review the amount before sending it. Full or partial refunds can be issued within 180 days of the payment date. A refund cannot be canceled after it is sent.

For a seller returning a goods-and-services payment, PayPal says there is no separate refund fee, but the original receiving fees are not returned. Keep that seller-side fee treatment separate from the amount the buyer was promised.

If the original payment itself is waiting to clear, read PayPal payment pending. That status describes the outgoing payment; the steps below follow the money returning.

Read the refund status before choosing whom to contact

Refund stage What to check next
Issued but still pending Ask the seller if it remains pending beyond PayPal’s stated clearing window
Sent to a bank or card Check that funding account and retain the bank reference ID where provided
Completed but absent from the statement Ask the bank or card issuer to trace it
Canceled Ask the seller why the refund could not be processed

PayPal says refunds generally return to the original payment method. Balance-funded refunds return the same day; bank refunds usually take up to five business days, with some taking up to 30 days. Debit-card refunds generally take up to five business days, sometimes up to 30. Credit-card refunds may take one or two billing cycles.

These are provider estimates, so use the refund date and funding method when discussing a delay. A date from the seller’s email is not a substitute for the refund record.

If there is a dispute or claim

The Resolution Center handles purchase problems, unauthorized transactions, billing errors and communication about disputes. It also lets a buyer escalate a dispute to a claim for PayPal to investigate.

Keep a simple file containing the order confirmation, original transaction, seller’s refund message and any refund record. That gives the person handling the case a sequence to follow: what was paid, what was promised and what has returned.

PayPal says you can exchange messages during the dispute phase. For an escalated claim, open View for the latest status; a claim under review shows an estimated resolution date and any request for information. Closed Cases holds records no longer in the open list.

The case outcome and the refund’s arrival are separate checkpoints. Record both so a support conversation does not stop at “the case is closed” when the question is where the returned money went.

Do not let a refund promise hide a filing deadline

PayPal lists different deadlines for different problems. Item Not Received disputes must be opened within 180 days of payment. Significantly Not as Described disputes must be opened within 30 days of delivery or fulfillment, or 180 days of payment, whichever comes first.

Describe the actual problem when seeking help. A refund delay, an item that never arrived and an unauthorized payment require different evidence. For personal payments, also read PayPal Friends and Family before assuming purchase protections apply.
